Privacy Notice

Groundkept runs groundkept.com and app.groundkept.com. We're building a network that connects property managers with local maintenance crews, starting with tree work. Groundkept is for businesses. This notice explains what information we collect, why, who helps us handle it, and the choices you have.

What we collect

When you chat with Keeper. Keeper is the assistant on groundkept.com. Keeper is an AI, not a person. We store your conversation with Keeper so we can follow up and improve our answers. Your browser keeps a random visitor ID and a conversation ID (in its local storage, not a cookie) so Keeper can pick up where you left off. If you ask us to get in touch, Keeper saves what you give it: your name, company, email and/or phone number, how you'd like us to contact you, and what you need. A crew owner may also tell us about their crew, such as truck count, service area and the services they offer.

When you email, text or call us. We keep a record of what we exchange with you, including emails, texts and notes from calls, on your contact record so anyone on our team can pick up the thread.

Calls. When we record a call, we tell you at the start of it. We keep the recording, a transcript and a short summary with your contact record. If you'd rather not be recorded, say so and we'll stop recording or switch to email.

Business contact information from other sources. We may contact people at property-management companies and crews whose business contact details are publicly available, for example on company websites, in business directories or on professional networks. We use only business contact details, such as your name, title, company, work email and work phone.

Basic technical information. Our hosting provider records technical information, such as IP address, browser type and the pages requested, to run the site and keep it secure. We use privacy-friendly, aggregate site analytics that don't use cookies or track you across other sites. We don't use advertising pixels or advertising trackers.

If you have an account on app.groundkept.com. Accounts are invite-only, for our founders and advisors. We keep your name, email, sign-in details and what you do in the app. Files you upload (such as spreadsheets, slide decks, documents and PDFs) are stored, and their text is extracted so the AI tools in the app can read them. Don't upload anything you don't have the right to share with us. If you connect your own AI assistant to Groundkept, the information you ask it to read goes to that assistant's provider under your own account terms.

How we use it

• To answer you, follow up, and give you the information or quote you asked for.
• To send you emails you'd expect, such as a confirmation that we got your message, and updates you've asked for.
• To text you, but only if you've agreed to receive texts (see "Text messages" below).
• To reach out to businesses about Groundkept by email or phone. You can tell us to stop at any time.
• To run, secure and improve our site, Keeper and our services.
• To keep records we need for legal, tax or accounting reasons, and to protect our rights.

We don't sell personal information. We don't share it with anyone for their own marketing.

AI

Keeper and some of our internal tools are powered by Anthropic's Claude, used through Anthropic's commercial API. Anthropic processes what's sent to it in order to produce responses for us, under terms that don't allow it to train its models on that data. Keeper can make mistakes, so don't rely on it for anything important without confirming with a person on our team. A person reviews anything we send you that Keeper or our AI tools drafted.

Text messages

If you give us your mobile number and agree to receive texts, we'll text you about your inquiry, quotes, jobs and scheduling. Crews we work with receive texts about job offers and scheduling. How often depends on your activity. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. You can also email info@groundkept.com.

We don't share or sell mobile phone numbers, or your consent to receive texts, with third parties or affiliates for their marketing or promotional purposes. Text-messaging opt-in data and consent are never shared with any third party, except the service providers that deliver our messages for us.

Who else handles it

We use service providers to run Groundkept. They handle information on our behalf and only to provide their service to us:

We may also share information if the law requires it, to protect people's safety or our rights, or as part of a merger, financing or sale of our business. If we form a company to run Groundkept, your information will move to it, and this notice will continue to apply.

Where it's stored

Our information is stored in the United States.

How long we keep it

• Keeper conversations that don't become a contact: 12 months.
• Contacts, conversations and call records: while we're working with you or your company, and for 2 years after our last contact.
• Call recordings: 12 months. The transcript and summary stay with your contact record.
• Opt-outs: we keep a record that you opted out, so we don't contact you again.
• Records we must keep for legal, tax or accounting reasons are kept for as long as the law requires.

Your choices

• See, correct or delete your information: email info@groundkept.com. We'll answer within 30 days. We may need to confirm who you are first. We'll keep only what we're legally required to keep, plus a note that you opted out.
• Stop emails: use the unsubscribe link in any email from us, or reply and ask. We'll stop within 10 business days.
• Stop texts: reply STOP.
• Not be recorded: tell us at the start of the call.

Do Not Track

Our site doesn't respond to browser "Do Not Track" signals, because we don't track you across other websites, and we don't let other companies do so on our site.

Security

We protect information with access controls, encrypted connections and accounts limited to the people who need them. No system is perfectly secure. If we learn of a breach affecting your information, we'll tell you as the law requires.

Children

Groundkept is for businesses. We don't knowingly collect information from anyone under 16.

Changes

When we change this notice, we update the date at the top. If the change is significant, we'll tell the people on our contact list before it takes effect.
